Done properly, it stops the wrong item, the wrong location or the wrong quantity being recorded as right. The scanner is only half of it. The software rules behind each scan decide what a scan is allowed to change, and that is where a warehouse either gains accuracy or simply gets faster at making mistakes.

This guide looks at scanning from the process side, stage by stage, and ends with the questions to put to a supplier. For the hardware and barcode basics, read our barcode scanner system guide first. This one assumes you already have barcodes on your products and want to know what those barcodes should do.

What a warehouse scanning system does

A warehouse scanning system pairs scanners or mobile devices with software rules, so each receipt, move, pick and despatch is recorded from the barcode that was physically scanned, not from someone typing a number in later.

The word that matters there is “rules”. A scanner reads a code and passes it on. The system decides what that code means: whether this pallet belongs to this order, whether the location is valid for this product, whether the batch matches what the task expects. Without those rules, a scanner is just a faster way to record the wrong thing.

Clarus’s strekkodeskanning runs on Android handheld devices, and the handheld workflow builder lets each site set its own scanning steps. Every task is held at line level, so each scan confirms one specific job.

Where scanning fits in each stage of the warehouse process

Scanning means something different at each stage. The table shows what gets scanned, what the system should check, and what usually goes wrong when nothing checks it.

Stage

What gets scanned

What the system checks

What goes wrong without a check

Goods in

Pallet label (GS1 barcodes or a receipt reference)

Product, quantity and batch against the advance notice, or prompts for missing batch and best-before data

Trucks wait while staff work out what has arrived

Plassering

Location code, then pallet

The location is valid for the stock and matches the putaway task

Stock goes into a location nobody can find it in

Replenishment

Pick face location and pallet

Stock moved to the pick face that the order demand needs

Pickers keep climbing to high racking for stock that should sit at the pick face

Plukking

Location, pallet, product

Each scan matches the open pick line, and wrong items are rejected

A picker takes the item next to the right one

Pakking

Order reference and each item

Real-time check that the barcode matches the order, with the packer stopped if it does not

A second person has to check the pick by hand

Despatch

Order or load reference and pallet

The order is on the right vehicle and in the planned sequence

The first orders picked go out last

Stock check

Location and pallet

Counted quantity against the live stock record

Counts stop operations or run into overtime

Goods in: scanning against the advance notice

Goods in is where a scanning system either saves a shift or costs one. If the supplier sends the load data before the truck arrives, the receipt can be quick. In the best case, a 26-pallet load is received with 26 scans, one per pallet, because the rest of the load detail is already on the record.

When nothing arrives in advance, the receipt becomes a blind receipt. The handheld prompts the operator to find the batch and the best-before date on the pallet, and the system cannot check them against anything. That prompt is only useful if the process also says what to do when the label cannot be found. Otherwise the pallet sits on the dock while someone works it out.

Den varer inn flow can read the three barcodes that a standard GS1 pallet label usually carries: one for article number and quantity, one for batch, and one for the pallet’s serial shipping container code, the GS1 identifier for shippers and logistic units. Two Benelux customers, for example, had labels that carried the same identifiers in different layouts, so the scan has to be set up for the labels you actually receive. Check that in the demo with real pallets from your suppliers.

Putaway: a location is only a code

From the system’s point of view, a location is a code. If the operator scans that code and then the pallet, the stock is recorded there. That sounds simple, and it is why the location scan matters: it confirms where the stock physically went, not where someone meant to put it. Directed putaway sits on top of this and suggests a location for each pallet, so the operator is not guessing.

Quarantine follows the same logic. Stock can be put on hold automatically when it is received and put away, through an automation set against the account. Held stock cannot be allocated to a task until it is released, and the system records the hold reason, who placed it and when. One 3PL customer used this for animal feed that had to be signed off by a qualified vet before it could move. The floor should not have to remember that a pallet is on hold. The system should not let it move.

Picking: stopping the wrong item at the shelf

On a pick task, the handheld asks for the location first, then the pallet, then the product. If a picker scans a location the task does not want, the screen says so and shows where the stock should be. That is the difference between a scan that records a pick and a scan that checks one.

The order of the walk matters too. Pick routes follow a walk sequence set against each location, so the plukking run can be set to finish at goods out. If carriers collect at different times, the system can also pick by carrier and service, so the first collection is picked first.

Paper pick lists are the common alternative, and they move the check to a point where it costs more. On a paper pick, the check happens after the pick, not during it, which is why it usually needs a second person walking round the pallet. Workflows that send staff up and down racking also sit inside your manual handling duties, which HSE’s guidance on manual handling at work helps employers meet under the Manual Handling Operations Regulations 1992.

Packing and despatch: checking the order before it leaves

At the pakkebord, scan verification is the last barrier. The barcode has to match the order, and if it does not, the system stops the packer. This is the point where a pick and pack operation catches order errors before they reach the customer.

Despatch has its own sequencing problem. If the warehouse picks 100 orders without knowing which ones leave first, the first 20 picked can end up at the front of the bays while the last 20 are the ones that need to go. Feeding load references and priority numbers from the transport system into the warehouse system fixes that, because release order then follows the vehicle schedule.

Stock checks and cycle counts

Full stock takes are expensive, because they usually mean stopping operations, paying overtime or counting on nights. Many operators count a fixed sample of pallets each week instead and track the error rate on that sample. A sample only tells you something if it is counted the same way every week and the errors are logged.

Scanning makes that practical. Counts recorded by scan against the live stock record are faster to finish and easier to audit than a clipboard. The stock checks feature is built for that structured approach. JODA Freight, a refrigeration 3PL, reached 99% stock accuracy in year two, after running in the 90 to 97% range in year one. Stock takes went from weeks on Excel to a single day, and its year-end counts take two to three days. Read the JODA Freight story for the full picture.

What a warehouse scanning system needs to do

Before you look at any product, write down what the scanning system has to stop. These are the functions to check in every demo.

Scan-to-confirm: every scan has to match an open task line before the movement is confirmed. A scan that matches nothing should not update stock.

Wrong-item blocking: the system rejects a product, location or pallet that does not belong to the task, and tells the operator what should be there.

Batch, serial and expiry capture: batch screens should appear only for products that need them, and a wrong batch should trigger a warning rather than a silent record. Serial numbers can be captured on arrival, on dispatch or both. The batch and lot control, registrering av serienummer og sporing av utløpsdato features cover each of these.

Operator tracking: every movement should show who did it, when, and from where to where. The operator activity record is the audit trail for that. It shows what was scanned, not what someone did with the item afterwards.

Dead-spot behaviour: the system should say what happens to a scan if a handheld drops its connection halfway through a task. Ask this one directly, because it is the question most demos skip.

FIFO, FEFO and bulk stacks

Rotation rules are where scanning meets stock management. At Clarus, FIFO means the oldest stock record, down to the millisecond of when it was created. First-expiry-first-out is a separate sell-by rule, configured as a pick rule on the account. Mixing those two terms in a demo produces confusion, so ask the supplier to define each one before the demo starts.

Bulk stacks are the hard case. The oldest pallet can sit at the back of a stack of 50 pallets, and reaching it is not practical. A switch scan can let the operator take the pallet at the front instead, provided it is the same product, date and batch. It cannot take a pallet that is already allocated to another pick, so ask how the system handles that clash.

Scanning proves what was scanned, not what happened

Mat Buttar, Head of Solutions at Clarus, makes the point that no warehouse is error free. Scanning reduces errors, but it does not remove them, because people are people. A picker can scan the right location, the right pallet and a product that is on that pallet, then take a different box from the pallet beside it. A scanning system checks the steps you tell it to check. Supervision, layout and training cover the rest.

That is why the best demo question is not “does it scan?” It is “what does it do when the scan is right but the action is wrong?” If the answer is a live tracking view and a sensible process to catch the gap, that is a stronger buy than a long list of features.

How to choose a warehouse scanning system

Choosing a system means choosing rules, not just devices. Start from your worst process failure and check that the system stops it at the scan. If the worst failure is a wrong pick, test the wrong-item block. If it is a goods-in backlog, test the blind receipt. Hardware comes second, because the same handheld can run a good process or a poor one.

What is the difference between a barcode scanner and a WMS?

A barcode scanner reads a code and does nothing else, while a WMS holds the stock record, decides what a scan is allowed to change, and keeps the audit trail.

A scanner on its own cannot tell whether a code belongs on the order in front of the picker. Hardware suppliers describe the devices. Honeywell lists mobility devices for logistics and warehouses, and BarcodesInc describes mobile computers as a way to improve accuracy and decision making. The Barcode Warehouse, a UK supplier of scanners, printers and labels, sells that hardware too. Hardware choice is a separate job from choosing the system that sits behind it.

In practice, barcodes are easier to control and cheaper to start with, and RFID tends to make more sense for high-value or controlled items. If you are comparing systems rather than hardware, our guide to the Den beste programvaren for lagerstyringssystemer i 2026 is the place to start.

Questions to ask in a demo

Ask the supplier to show each of these live, not on a slide. A screen you can see is worth more than any answer in a sales call.

Scan a wrong location on a pick task. What does the operator see, and does the screen show the right location?

Receive a pallet with no advance data. What does the handheld ask for, and what happens when the batch cannot be found?

Receive a batch-controlled product and a product that does not need batch. Does the batch screen appear only for the first?

Dispatch a serial-numbered item. Where is the serial recorded, and can you list everything that went to one customer?

Open one movement from last week. Who scanned it, when, and from where to where?

Lose the Wi-Fi halfway through a task. What happens to the scan?

Show how temperature or other compliance checks are captured at the scan. Clarus does not have a built-in temperature mapping module, so ask to see the generic fields that carry those checks.

Ask for a go-live timeline for a project like yours. Clarus’s standard is around 12 weeks for a project with the right support on both sides. Complex, high-volume projects take longer, so ask what would make yours longer.

Test the warehouse map as well. It is generated from location codes, using zone, aisle, column, row and slot. It is useful for finding locations, but it is a visual guide rather than an exact model of the building, so judge it on that basis.

How Clarus WMS handles scanning for 3PLs

Clarus WMS is built for 3PL and multi-client warehouses, where scanning has to respect different client rules on the same floor. Batch, expiry and best-before controls are set per client account and can be switched off for individual products, such as packaging that does not need batch tracking. Each client’s stock stays segregated within one warehouse, so the inventory management side of the system keeps every client’s counts apart. Clarus plans start from £1,000 a month, as set out on the prisside.

If you hold retail stock as well as client stock, our programvare for lagerstyring i detaljhandelen page covers that side of the same floor.
