The problem with most warehouse reporting isn’t that the numbers are wrong. It’s that they’re old. Real-time reporting flips that: because a task-based WMS records every movement as it happens, receiving, putaway, pick, pack, despatch, the report is simply a live view of the operation rather than a snapshot someone assembled after the fact.

That timing matters most at the edges. You catch a location running low before it hits zero. You see a pick queue backing up while there’s still time to move labour onto it. And when a client asks where their order is, the answer is on screen, not something you have to go and find. The reporting also works historically: set a date range and you get an accurate picture of any point in the past, which is what makes trend analysis and audits possible.

The reports that actually change decisions

A WMS can generate dozens of reports, but a handful do most of the work. These are the ones worth building your day around.

Inventory reports. Stock on hand, on order and in transit, per location and per client. The real value is spotting the mismatch between system count and floor reality early, because every downstream decision, replenishment, purchasing, what you promise a customer, rests on that number being right.

Stock movement reports. What came in, what went out, what moved where. This is your audit trail. When a client disputes a charge or a count, being able to show exactly what happened and when turns an argument into a five-minute conversation.

Pick and pack efficiency reports. Orders processed, lines picked, time to complete. Watch these over a few weeks and the bottlenecks show themselves, usually a specific zone, a specific product type, or a specific time of day when errors spike under load.

KPI reports. Inventory turnover, order fill rate, on-time despatch. These are the numbers you take to a client review or a board meeting, and having them accurate and to hand is the difference between a confident update and a scramble.

Dashboards. A live visual of the metrics that matter, so the floor manager sees a problem forming without running a report at all. The best use of a dashboard is prevention, not post-mortem.

How to actually use them

Reports only pay off if someone acts on them, and most teams drown in data they never use. A tighter approach works better than “run everything”:

  1. Pick three or four KPIs that map to how you get paid and judged, then watch those daily. Fill rate and on-time despatch are usually two of them.
  2. Look at trends, not single days. One bad afternoon is noise; the same dip every Friday is a pattern worth fixing.
  3. Build a couple of custom views for the questions you keep asking, rather than re-filtering the same data by hand each time.
  4. Automate the routine ones. Schedule the weekly client report to send itself, so it stops being a job someone has to remember.
  5. Give clients their own view. A self-service portal answers most “where’s my stock?” questions before they reach your inbox.

One caveat worth stating plainly: a report is only as good as the data underneath it. If putaway is sloppy or barcodes get skipped, faster reporting just shows you bad numbers sooner. Scan verification and disciplined processes are what make the reports trustworthy in the first place.
